Privacy Policy
This Privacy Policy explains what information XPward collects, why it is used, where it may be processed, how long it is kept, and the controls you have over your data.
1. Overview and scope
XPward is a productivity and self-improvement service that lets people record completed activities, earn XP, manage quests and goals, track streaks and progress, use widgets and reminders, and optionally use AI-assisted analysis or planning features. This policy applies to the XPward iOS app, xpward.com, the XPward backend and related account services.
XPward is operated by the developer identified in the applicable Apple App Store listing. In this policy, “XPward,” “we,” “us,” and “our” refer to that operator.
2. Information we collect
2.1 Account and identity information
When you create or use an XPward account, we may process your email address, display name, account identifier, profile/avatar information, selected plan level, account settings, and account creation time.
If you create an account with email and password, XPward stores a cryptographic password hash rather than the plaintext password. You are responsible for keeping your password confidential.
2.2 Google and Apple sign-in information
If you choose Google Sign-In or Sign in with Apple, the relevant provider sends XPward authentication information needed to verify your identity. Depending on the provider and your choices, this can include a provider-specific user identifier, verified email address, display name, email-verification status, and limited provider metadata such as locale or Apple private-email status.
For Sign in with Apple, XPward may store an encrypted Apple refresh credential so that XPward can request revocation of the Apple authorization when you delete your XPward account. XPward does not receive your Apple ID password or Google account password.
2.3 Productivity and progress content
XPward stores the information you choose to create in the app so that it can provide its core features and cloud sync. This may include activity titles and notes, categories, effort and difficulty values, duration, XP values, timestamps, quests, completed quests, goals and milestones, recurring quests, habits, focus sessions, streaks, achievements, reports, reminders, friend or squad information, challenges, and other app state added by current or future XPward features.
Because XPward lets you describe your real life in your own words, your entries may contain information you consider personal or sensitive. Please avoid entering information you do not want stored or processed by the service.
2.4 Profile pictures and avatars
You can choose a built-in XPward avatar or voluntarily upload/take a custom profile picture. Custom images are uploaded only when you choose to do so. The current backend stores custom avatar images in managed cloud object storage and saves the resulting image URL to your account.
2.5 Settings and local device data
The iOS app stores certain preferences locally, such as appearance, accent color, language, onboarding progress and widget preferences. Authentication session credentials are stored using iOS security mechanisms, including Keychain for the native session token where supported. Some XPward data is also written to the app group container so that the XPward widget can display relevant information.
2.6 Password-reset and security records
If you request a password reset, XPward processes your email address and creates a random, time-limited reset token. The reset link is delivered using an email service provider. XPward also creates short-lived OAuth transaction records and security/replay-prevention records used to protect sign-in flows.
2.7 Technical request information
When you communicate with XPward servers, ordinary web and hosting infrastructure may process technical information such as IP address, request time, route, browser or app network headers, and error information. This information may appear in infrastructure logs for security, reliability, abuse prevention and troubleshooting. XPward does not intentionally build advertising profiles from this information.
3. iPhone permissions
XPward asks for protected iOS permissions only when a feature needs them:
- Camera: used only when you choose to take a new profile picture.
- Photo Library: used only when you choose an existing image for your profile. The system photo picker may limit XPward to the item you selected.
- Notifications: used for optional local reminders, recurring-quest reminders, streak support and related productivity notifications. Notification permission can be changed in iOS Settings.
XPward does not require location, microphone, contacts, HealthKit, motion or Bluetooth access for the functionality represented by this version of the app.
4. How we use information
We use information described in this policy to:
- create and authenticate your XPward account;
- provide XP, activity history, quests, goals, habits, streaks, summaries, analytics, widgets, reminders and other requested features;
- synchronize your progress across supported devices and web sessions;
- save profile settings and avatar choices;
- send password-reset messages and other service-related communications you request;
- provide AI-assisted analysis or planning when you intentionally use those features;
- detect, prevent and investigate abuse, fraud, replay attacks, unauthorized access and technical problems;
- maintain, debug and improve the reliability and usability of XPward;
- comply with applicable law and enforce legitimate service rules.
We do not use your private productivity entries to serve third-party advertisements.
5. AI-powered features
Some XPward features can send text you provide to an AI service to turn free-form descriptions into structured activities, generate goal breakdowns, or create planning suggestions. When the server-side AI feature is enabled, the relevant text and minimal context needed for that request may be sent to OpenAI through its API.
AI use is feature-specific: XPward does not need to send every piece of your account data to an AI provider simply because you have an account. If the AI service is unavailable or not configured, some analysis can fall back to local/non-AI behavior where implemented.
OpenAI processes API content under its own applicable business/API data terms and privacy commitments. You should avoid submitting highly sensitive information to AI features unless it is necessary for the feature you are using.
6. Service providers and sharing
XPward does not sell your personal information. We disclose information only as reasonably necessary to operate the service, provide a feature you requested, protect XPward and its users, comply with law, or as part of a legitimate business transfer subject to appropriate protections.

These providers have their own privacy policies and terms. We expect service providers that process XPward data on our behalf to apply protections appropriate to the services they provide and applicable law.
7. Advertising, sale of data and tracking
The current XPward iOS build does not include third-party advertising SDKs and declares that it does not engage in App Tracking Transparency-style cross-app tracking. XPward does not sell personal information for money and does not use your XPward data to target third-party ads.
If XPward introduces advertising, tracking, or materially different analytics in the future, this policy and the App Store privacy disclosures will be updated as required before or when those practices apply.
8. Security
We use administrative and technical measures intended to protect XPward data. Examples in the current service include HTTPS transport, HTTP-only session cookies on the web, signed session tokens, secure iOS Keychain storage for native session credentials, password hashing, OAuth token verification, nonce/replay protections, encrypted storage of Apple refresh credentials, request-size limits and account-scoped authorization checks.
No service can guarantee absolute security. You should use a unique password, protect access to your device and account, and contact us if you believe your XPward account has been compromised.
9. Data retention
We generally retain account information and synchronized XPward content while your account remains active because that information is needed to provide the service and cloud sync.
- Native/web session credentials are designed to expire or be cleared during logout, deletion, or normal session lifecycle.
- Password-reset tokens expire after a short period (currently 30 minutes). Expired records may remain for a limited operational period until cleanup or account deletion, but cannot be used as valid reset credentials.
- OAuth transaction and replay-prevention records are short-lived and are used for sign-in security.
- Custom avatar files are retained until replaced, removed through account changes where supported, or deleted with the account.
- Infrastructure/security logs may be retained by hosting and service providers according to their operational settings and policies.
We may retain limited information for longer where required by law, necessary to resolve disputes, enforce agreements, protect security, or maintain records that we are legally obligated to keep. If such retention is required, the information should be limited to the purpose requiring it.
10. Account deletion and revoking access
You can initiate permanent XPward account deletion inside the iOS app from More → Account → Delete account. The deletion flow requires an explicit confirmation to reduce accidental deletion.
When account deletion completes, XPward deletes the account row and associated XPward cloud data in its database, including synchronized state, password-reset records and linked authentication identities. The backend also attempts to remove account-owned custom avatar blobs. If Sign in with Apple credentials are available, XPward attempts to revoke the Apple authorization before removing the local account data.
Deletion is intended to be permanent. After successful deletion, the previous XPward account cannot be restored through the app. If you later sign up again with the same email address, that is treated as a new XPward account.
11. Your choices and privacy rights
Depending on where you live, you may have rights regarding personal data, including rights to access, correct, delete, restrict or object to certain processing, receive a portable copy where applicable, or withdraw consent where processing is based on consent.
You can exercise many choices directly in the app. For requests that cannot be completed through the app, contact us using the address below. We may need to verify that you control the relevant account before fulfilling a request. Legal rights and exceptions vary by jurisdiction.
If you are in the EEA or UK and believe your rights have not been respected, you may also have the right to complain to your local data-protection supervisory authority.
12. Legal bases for EEA/UK users
Where GDPR-style legal bases apply, XPward generally relies on:
- Performance of a contract: to create your account, authenticate you, store requested progress, synchronize data and deliver the XPward features you ask to use.
- Legitimate interests: to secure the service, prevent abuse, troubleshoot errors, maintain reliability and understand operational performance in a proportionate way.
- Consent: where you voluntarily grant protected device permissions or choose to submit content to optional features that require that choice.
- Legal obligations: when processing is necessary to comply with applicable law or lawful requests.
13. International processing
XPward and its service providers may process data in countries other than the country where you live. Those countries may have different privacy laws. Where required, we rely on applicable contractual, organizational or legal transfer mechanisms provided by or available through our service providers.
14. Children
XPward is a general productivity service and is not designed to knowingly collect personal information from children below the minimum age at which they can independently consent to the relevant online service in their jurisdiction. If you believe a child has provided personal information to XPward in a way that is not permitted, contact us so we can review and, where appropriate, delete it.
15. Changes to this policy
XPward may update this Privacy Policy when features, service providers, laws or data practices change. The “Last updated” date at the top identifies the current version. If a change materially affects how personal information is handled, we may provide additional notice where appropriate or legally required.
